Marina Mechanical Services is looking for a motivated and experienced Commercial Service HVAC Inside Salesperson to join our team. The HVAC Inside Sales Representative is responsible for converting service technician recommendations into approved and sold work. This position acts as the primary liaison between the field technician and the customer by reviewing deficiencies, developing repair and replacement proposals, sourcing materials and equipment, communicating value to the customer, overcoming objections, and following up aggressively to close sales.
The ideal candidate understands HVAC systems, possesses strong sales and relationship-building skills, and has the ability to manage multiple opportunities simultaneously while providing exceptional customer service. Success in this role is measured by quote turnaround time, proposal conversion rates, gross profit achievement, customer retention, and overall sales growth.
As a Commercial HVAC Inside Salesperson, you will:
Sales & Opportunity Management
Review technician-generated recommendations, deficiencies, and repair opportunities daily.
Evaluate service tickets, photos, inspection reports, and field notes to determine scope of work.
Contact technicians when clarification is needed regarding recommended repairs or replacement options.
Prioritize opportunities based on urgency, customer needs, potential revenue, and operational capacity.
Create accurate and professional repair, replacement, and upgrade proposals.
Present solutions to customers through phone calls, email, video meetings, or customer portals.
Educate customers on equipment condition, risks, benefits, return on investment, energy efficiency, reliability, and code compliance.
Verify scope accuracy and ensure all proposal details are clearly documented.
Utilize pricing databases, flat-rate systems, manufacturer pricing, and company standards.
Ensure gross profit objectives are met or exceeded.
Prepare multiple solution options when appropriate, including:
Repair options
Replacement options
Preventative recommendations
Energy-efficiency upgrades
Capital project alternatives
Review proposals for completeness and accuracy prior to release.
Parts & Equipment Sourcing
Source HVAC equipment, replacement parts, components, and specialty materials from approved vendors.
Obtain pricing and availability from suppliers.
Verify equipment compatibility and lead times.
Coordinate with purchasing and warehouse personnel regarding material procurement.
Work with manufacturers, distributors, and vendor representatives to obtain:
Costing
Technical information
Product availability
Warranties
Alternative equipment options
Maintain awareness of market pricing, product changes, and supply chain challenges.
Ensure all sourced materials support company profitability goals.
Customer Relationship Management
Build trusted relationships with existing customers.
Serve as the primary customer contact throughout the quoting and sales process.
Respond to customer inquiries promptly and professionally.
Conduct post-quote follow-ups to keep opportunities moving forward.
Identify additional opportunities to provide value to customers.
Promote repair, retrofit, replacement, maintenance, and service agreement solutions.
Address concerns and objections using a consultative sales approach.
Maintain excellent customer satisfaction and retention.
Technician Collaboration
Partner closely with service technicians and field supervisors.
Provide coaching and feedback regarding recommendation quality and documentation.
Help technicians improve identification of sales opportunities.
Clarify customer concerns and communicate feedback to field personnel.
Ensure technician recommendations are converted into actionable proposals.
CRM & Documentation
Enter and maintain accurate data within company software systems.
Document all customer conversations, follow-up activities, and proposal status changes.
Maintain organized records of:
Quotes
Pricing worksheets
Cost estimates
Vendor pricing
Customer correspondence
Track proposal activity and sales performance metrics.
Generate reports related to sales pipeline, conversion rates, and revenue.
Revenue Growth & Business Development
Identify opportunities to increase service, repair, and replacement revenue.
Support company growth initiatives through proactive sales efforts.
Promote:
Service agreements
Equipment modernization
Energy efficiency programs
Indoor air quality solutions
Building performance improvements
Develop repeat business opportunities with existing customers.
To be successful in this role, you should have:
Education
High school diploma or equivalent required.
Associate degree in business, HVAC, engineering, construction management, or related field preferred.
Experience
3+ years of HVAC industry experience preferred.
Experience in service sales, inside sales, estimating, service coordination, dispatching, or HVAC operations.
Proven sales and customer service experience.
Experience reviewing technical recommendations and developing proposals.
Technical Knowledge
Working knowledge of:

Refrigeration principles
